BEFORE THE EVENT
Set up the event once.
This is the event’s master record. Tell us the basics, attach a budget if you already have one, and tell us what help is needed.
Replaces: the planning side of the paper Event Planning Information Form plus separate emails/texts for setup, promotion and budget context.
What happens next: the Event ID becomes the key. Promotion, operations and Treasurer follow-up can be routed from this record without asking you to enter the same event again.
AFTER THE EVENT
Add what happened. Don’t retype what we already know.
Start with the Event ID. The event record supplies the name, date, chair, committee, location, budget and planned beneficiary.
Replaces: the results side of the paper event form, separate charitable reporting, separate PR story collection and the later hunt for receipts and numbers.
What happens next: actual results go to the event record; volunteer/charitable data can route to Secretary/Government Relations; PR gets the story/photos; The Treasurer reconciles revenue, expenses and any final donation.
